There are two templates for letters: let-form.tex and let-utep.tex. The template let-utep.tex is to be used with departmental letterhead paper while let-form is used on plain paper with no departmental letterhead. The basic difference between the two styles is that in the let-utep (letterhead form) the senders address is implicitly given by the signature and letterhead and output has been designed to match department letterhead stationary. In the let-form style, the senders address is explicitly given as in a business letter to be typed on plain paper. Examples of letters are in the Appendix.
Type your first letter by opening Epoch as described in subsection 1.2. After opening and naming your letter file, select a letter template by entering C-c as described in subsection 2.1. Respond with l to load the let-form template for letters on plain paper and u to load the let-utep.tex template for departmental letterhead use. The desired template will appear on your screen. The printer in the supply room BH121 has one paper slot dedicated to letterhead printing for those with access.
As an alternative, it is often quicker and more convenient to insert a previous letter, possibly with the same sender and receiver and edit it.
Make the needed changes and type the body of your letter. Produce a dvi file for your letter by Meta-F2. Then preview the letter on the computer monitor by C-F2. Edit as required. To print the letter, drag and drop the letter's dvi file to the printer of your choice on your print tool. If printing on letter head paper, select the let-head printer option on your print tool, otherwise use the regular print options. Only authorized personnel should use the letterhead option.
The following subsections contains 2 examples of standard letters. The first example is a letter which would normally be printed on departmental letterhead paper by selecting the Let_Head option when ready to print on the laser containing the departmental letterhead paper. Note that no return address is explicitly given. The return address is the math department address which is already printed on the top and bottom of the departmental stationary. Only authorized faculty and staff may use letterhead paper for letters. The commands which produced this example follow the letter. See Section 6.4 for a discussion of the standard let-utep template which was modified to produce the tex file for this letter.
The second example is a letter printed on plain paper with the return address included in the address command. The commands which produced this second example follow on the next page. See Section 6.4 for a discussion of the standard template, let-form, which is usually modified to produce the tex file for this letter.
